Administrators

Administrators are the people allowed to sign in to the TimePally portal and manage your organisation. Use this page to invite a new admin (which sends them an OTP-based welcome email), correct an existing admin’s email address, or remove an admin who shouldn’t have access any longer.

Getting there

Click Administrators in the left sidebar (user-shield icon). The page is only visible to users with the ADMIN role.

What you’ll see

  • A grid on the left listing every administrator with: Firstname, Lastname, Email, Last Seen, and a trash icon under Actions.
  • An editor panel on the right with three required fields (Firstname, Lastname, Email) and buttons that change depending on whether you’ve selected a row.

Click any row to load that admin into the editor.

Common tasks

Invite a new administrator

  1. Make sure no row is selected (click Cancel to clear if one is).
  2. Fill in Firstname, Lastname, and Email (all required; the email must look like a valid email).
  3. Click Add Administrator.
  4. TimePally creates the user, links them to your organisation, generates a 10-minute OTP, and emails them a “Your TimePally Admin Access is Ready” message with a sign-in link.

Correct an existing admin’s email

  1. Click the admin’s row in the grid. The editor pre-fills, and the firstname/lastname fields become read-only.
  2. Edit the Email field.
  3. Click Update Email.

Note: Only the email can be changed from this page. To change someone’s first or last name, the admin updates them from their own Account Settings.

Remove an administrator

  1. Click the trash icon at the end of the row.
  2. A red dialog opens warning that the admin will lose access immediately.
  3. Type the admin’s full name (firstname + lastname) exactly to enable the Delete Administrator button.
  4. Click Delete Administrator.

Outcomes depend on whether the admin has audit history:

  • No history → hard delete. The user record is removed completely.
  • Has history → soft delete (deactivate). The user can no longer sign in, but their record is preserved so historical audit-log entries stay attributable.

The notification tells you which path was taken.

Tips

  • You can’t delete yourself. The trash icon on your own row is greyed out with the tooltip “You cannot delete yourself”: sign in as another admin first.
  • You can’t delete the organisation creator. The original sign-up admin is protected (trash icon greyed with “Organization creator cannot be deleted”). Their account can only be retired through support.
  • Last Seen shows when the admin most recently logged in: useful for spotting dormant accounts.
  • The invitation email links to https://app.timepally.com/login; the new admin uses their email and the OTP to set their password.

Note: Adding and updating an administrator both require an active subscription. The trash icon’s enabled state is independent of subscription status, but the underlying delete still goes through the subscription gate.
