Attendance Rules

This tab controls the org-wide rules TimePally applies when interpreting clock events: how many minutes late is still considered on time, whether members can clock in early, and what threshold counts a clock-in as “late” for reporting.

Getting there

Click Configurations in the sidebar and switch to the Attendance Rules tab.

What you’ll see

A single form titled Clock In / Out Rules with the following fields:

  • Override Organization Rules: checkbox; flag this if you want the values below to override defaults.
  • Late Grace Minutes: how many minutes after the scheduled start time still counts as on time.
  • Early Departure Grace Minutes: how many minutes before the scheduled end time members can clock out without being flagged as leaving early.
  • Allow Early Clock-In: checkbox; when ticked, members can clock in before their shift starts.
  • Early Clock-In Limit (Minutes): only visible when Allow Early Clock-In is ticked. The maximum number of minutes before the shift that clock-ins are accepted.
  • Late Mark After (Minutes): the threshold beyond the grace period at which a clock-in is permanently flagged as late.
  • Notify Manager on Late: checkbox; when ticked, the member’s manager is notified on late clock-ins.

Common tasks

Set a 5-minute grace period for late arrivals

  1. Set Late Grace Minutes to 5.
  2. Click Save Rules.

Members who clock in up to 5 minutes after their scheduled start now show as on time. Beyond 5 minutes, the clock-in is treated as late.

Allow clock-ins up to 15 minutes before shift starts

  1. Tick Allow Early Clock-In.
  2. The Early Clock-In Limit (Minutes) field appears.
  3. Enter 15.
  4. Click Save Rules.

Clock-ins more than 15 minutes early are rejected at the terminal.

Turn off early-leaving warnings

Set Early Departure Grace Minutes to a high value like 60. Anyone leaving within an hour of their scheduled end time won’t be flagged.

Tips

  • All fields are minutes. There’s no support for partial minutes: the smallest unit is 1.
  • If you tick Allow Early Clock-In, you must set Early Clock-In Limit (Minutes) to a value greater than 0: saving with a blank or zero limit shows an error.
  • Late Grace Minutes and Late Mark After (Minutes) are related but distinct: the grace period determines what’s shown as “on time” in reports; Late Mark After is the harder threshold at which the system records a definitive late event.

Note: Changes here apply to all members and all locations. To override the rules for an individual schedule, tick Override Organization Rules at the top of the form.

  • Exceptions Report: see which clock-ins triggered the late threshold
  • Attendance: daily view that uses these rules to colour-code each row
